ANSWER VAULT - WEEK ONE

Q.INTRO VIDEO: I watched the intro video for All Stars and some of the items you mentioned made me start to wonder. Are there any prerequisites that a person needs for All Stars? For example, when you talked about the media kit, you mentioned head shots. Then you spoke about items that can be added to your website. And, of course, there is the CRM. Do we need to have headshots, a website, or pre-purchased 17 Hats. I am working on the website so I have it ready for the next follow-up. Prefer to be ahead of the game instead of trying to catch up while the course is going on.

A. No you don’t need any prerequisites. Start from where you are. Don’t have a headshot? Fine. Don’t want to sign up for 17hats until the modules begin in week 1? Great. The main thing is that you make it work for you and you do the work.
There is something that I’d like to address though. When you did LOLB Originals, you watched the 5 Step Follow Up Formula and posted in the group about feeling discouraged because you didn’t have something and couldn’t move forward. To which I responded, do it anyway without that thing. Just keep moving forward. Then the light bulb moment happened for you, you did it, and it’s all fine.
Now I’m seeing your email asking if there is a pre-requisite. And it’s along the same lines of above. I don’t have something so I’m not doing it right mentality.
That mentality is discouraged in All Stars. When you watch the Intro video to All Stars you’ll see that there is no Tough Tilley anymore because he doesn’t need to be there. You are emotionally intelligent enough to figure it out on your own. When a hurdle comes along, don’t email me. Figure it out on your own. Then once you’ve figured it out, share your successful workaround in the Facebook group. There we will applaud your tenacity. That’s the difference between LOLB Originals and LOLB All Stars. Figuring it out on your own and sharing your successful workaround with others.
So I challenge you to that mental shift.

Q.DAY 1: Since all of my jobs are ultimately sound files from my Studio One DAW, and have references IN them to file locations, if I re-structure my CLIENT WORK folder, those references will break. Now, that's likely not a big deal - just point the job to the new location, but its years of jobs. Would you just start from here with the new file structure? Or go ahead and move all the files?

A. JT'S ANSWER: I’d say start from today and move forward from there. If after the two weeks you like it then cool. If not then stick with what you did before. Today’s module is mostly about getting yourself organized before you start organizing things for your va to organize for you.
AN OTHER STUDENT'S ANSWER: I went through Day 1 and it made me look at how my client work folders are set up and tbh I'm happy with them, they work for me, they are efficient, they are easy to find things.. they integrate with my other systems pretty well. So, I'm leaving those in place. (Aint broke) However, I've put in the items as suggested in calendar etc and I'm implementing them and that feels good. Was GREAT to actually check in with it all though and make sure it was working.

Q.DAY 1: I'm implementing your tips for time management into my calednar, but I'm more of a write it out in my paper calendar kind of peron. Is that ok?

A. Totally. Make it work for you.

Q. DAY 1: Will I be sharing my folders and files with my virtual assistant? That kind of scares me.

A. The ALLSTARS program teaches you how to rock your time management first so you can outsource things to your VA second. Your VA will be doing things like Research and Prep for you. They will not be accessing your files. Your VA is the one who does the prep work. And YOU are the one woho does the actual work. Of course if you build up a good enough relatinship with your VA and you want to give them things to do to help your ACTUAL work workflow run smoothly, then test it out. But for this program, and for this part in the relationship where you are giving your VA simple things to do, you will not be giving them huge responsibilities that could hurt your creative career because they deleted something accidentally.

Q. DAY 1: Do you set aside different times of day for your different business endeavors? I have two different businesses, and I find that I sometimes end up ping-ponging back and forth between them. And, yeah... it's not very productive. How do YOU manage it?

A. This is such a good question. And yes, it's so easy to ping-pong between the two and wind up getting nothing done. I know for me, and this is just my way of working, that if I do all of my voiceovers in the morning, I sound fresher, I read better, and my clients get their sound files earlier on in the day. So I try to schedule all of my voice work in the mornings. If they don't need to listen in then I bang through the voice work asap right at 8am. If they do want to listen in then I say the only time slots available are in the mornings because I'm working on a larger project in the afternoons that need my undivided attention. They don't know that the other project in the afternoon has nothing to do with voice over and everything to do with running my personal brand strategy business. They just know I'm not available in the afternoons. So they are more than willing to find a time that suits everyone involved. So I do all of my voicing during the morning before lunch. 95% of the time this works. And I have the rest of the time to run my other business in the morning between voice over gigs and 100% completely undisturbed in the afternoons. But please remember this is how I do it. There are over 7 billion people in the world and they all have their own way of making it work for them. So make it work for you.

Q. DAY 1: When you reference email/phone, I get the impression that it is addressing inbound items. What of outbound? I understand that a VA can assist with curating lists and doing the research stuff, but we're still responsible for the actual outbound emails, yes? I currently block off NNT for that work each day - and way more than the increments in day1...or am I getting ahead of myself?

A. Wonderful question. I love how you are thinking ahead. OK so... yes you are responsible for the outbound emails and phone calls. Yes, if you can, try to only do your emails and phone calls coming in and going out during the time put into your schedule. Of course, if someone just won't stop calling you every 3 seconds then yes pick up the phone. It could be an emergency. But if you see on the caller ID that it's a client that can wait 1 hour for you to call them back, and they aren't calling you every 3 seconds, then wait and hour for you to call them back. When I do call them back I always say, "sorry I was in a meeting. Thanks for waiting. How can I help you?" This does two things: 1. it makes them feel seen and heard and 2. it shows that you are in control of your time and scheudle... which is sexy af.

Q. DAY 1: Checking email only 4 times a day will be SO hard. I've put it into my calendar along with lunch and the other non-negotiables which are walking the dog and cooking! The dog will go mad if he doesn't go out, and my kids will go mad if they don't eat, so I'd better do those things! I'm still at my desk at 9.30pm so I'm not feeling terribly efficient today BUT I didn't get back from a conference until lunchtime and then I had 4 jobs to record - and as JT said, the work has to come first!

A. Of course when you get back from a conference or holiday it's like ARGH here we go... but you do get back into the swing of things. And yes, kids need to be fed. Dogs need to be taken for a walk. And it's all possible with strict time management. And I know, I know, we are glued to our emails. Just take a moment and remove yourself from email. Or if you get distracted from emails pinging into your inbox, then quit your email account completely from your desktop until it's time to check email. When it's time, open your emails, answer them, then quit your emails when you are done. This keeps distractions at a minimum.

Q. DAY 1: Wow! I can see how resistant I am to setting up my calendar. (I've got the file and job management thing down cold... so I'm good there!) But, jeez! I am such a "control freak" that I refuse to be controlled/dominated by my calendar. (Yes... the irony is not lost on me!) That said, I'm willing/open to changing my habits. Just thought it would be really valuable to share this... just in case YOU happen to feel my pain and share this resistance.

A. Totally normal. Totally understandable. Just try to make it work for you for the two weeks. You can always go back to the way it was before.

Q. DAY 1: Because I am in a show at the moment, I created 2 schedules: an office schedule (when I am not booked in an acting gig) as well as a show schedule (for times like now when my working day is shifted because of evening and weekend shows. I also foresee a third schedule for when I am in rehearsals, as during those times, everything else pretty much comes to a stand still as 100% of my energy goes into rehearsals. Is this ok?

A. This is more than ok! I LOVE THIS! Such a smart idea! Yes I know that feeling. When in rehearsals you're happy for a moment to yourself. Great thinking!

Q. DAY 2: While setting up my 17hats can I use one membership for all of my different busineses? ANd also if I work internationally with different currencies who do I set that up?

A. Yes you can do it all. All you have to do is create a new brand for each business. Or if you work internationally you can create a new brand for each currency. Q.DAY 4: What if I already know the CCO of a company, that’s looking for a voiceover for the company. You get called by the advertising studio but you want the one who influences the decision.
